Kiwi Creative Studios Limited, trading as The Lawn Brigade, how we handle your personal information under the New Zealand Privacy Act 2020.

Kiwi Creative Studios Limited (trading as The Lawn Brigade, “we”, “our”, “us”) is committed to protecting your privacy. This policy explains how we collect, use, store, and share personal information when you interact with our services, including our website and mobile app.

2. Scope
This policy applies to:
- Customers, Crew, and Leads
- Users of The Lawn Brigade mobile app
- Visitors to our website www.thelawnbrigade.nz
- Anyone contacting us or submitting a form
We’re based in New Zealand and mainly serve New Zealand users, with some use by New Zealanders living in Australia.
3. Information We Collect
Through the mobile app, we may collect or use:
- Name, phone number, email address, and physical address
- Location data (used automatically for job locations, navigation, and safety)
- Photos and camera use for task documentation
- Microphone access for in-app voice communication
- Calendar and reminders for setting events and tasks
- NFC to check in and out of tasks and equipment
- Motion and fall detection for crew safety
- Media access for training playback
Note: users don’t create their own accounts. Accounts are set up by our admin team, and users only set their passwords.
Through the website, we may collect:
- Contact form submissions
- Estimate requests
- Website analytics (e.g. IP address, device and browser type)
4. How We Use Information
We use this information to:
- Create, assign, and schedule jobs and estimates
- Track time and manage crew rostering
- Communicate task progress to crew and customers
- Keep our crew safe and accountable
- Maintain accounting and service history
5. Crew Safety Information
Location, motion, and fall-detection data is sensitive, so we want to be clear about it. We use it only to keep the crew safe on the job and to respond quickly if someone has an accident. We don’t use it to monitor performance or track people outside of work.
6. Marketing and Your Choices
If you’ve opted in, we may send you service updates or offers by email or text. Every marketing message includes an easy way to opt out, an unsubscribe link, or replying STOP to a text. Opting out of marketing won’t affect messages we need to send you about a job or your account.
7. Third-Party Services
We use trusted third parties for app infrastructure, hosting, communication, invoicing, and CRM, including:
- Xano, Draftbit
- WordPress, SiteGround
- Fluent Forms, Bulk SMS
- Zoho Mail, Zoho Campaigns, Zoho Books
- Affirmo
These providers handle data under their own privacy policies, and only to provide services to us.
8. Overseas Storage
Some of our providers store or process information on servers outside New Zealand. Where that happens, we take reasonable steps to make sure your information is handled with protections comparable to the New Zealand Privacy Act 2020.
9. Data Storage & Security
- Some information is stored on user devices.
- Most data is stored on secure servers hosted by Xano.
- We take reasonable steps to protect your information from loss, misuse, and unauthorised access, including encryption where appropriate.
10. Data Retention
We keep information only as long as we need it:
- Business and financial records (invoices, accounting, service history): retained for up to 7 years, or longer where the law requires it.
- Operational data (e.g. crew location, motion and fall-detection, app activity): kept only while a crew member is active or a customer is engaged with us, then deleted or de-identified.
You can ask us to delete information we hold about you, and we’ll do so unless we’re legally required to keep it (for example, for tax, auditing, or accounting).
11. Data Sharing
We don’t sell, rent, or share your information for marketing purposes. We only use it to run the app and our internal operations, and only share it where needed to deliver a service (for example, a payment or messaging provider).
12. Data Breaches
If a privacy breach happens that could cause serious harm, we’ll act quickly to contain it, notify the people affected, and report it to the Office of the Privacy Commissioner, in line with the Privacy Act 2020.
13. Your Rights
Under the New Zealand Privacy Act 2020, you can:
- Access the personal information we hold about you
- Ask us to correct anything that’s wrong
To make a request, email hi@thelawnbrigade.nz. We’ll respond as soon as we can, and within 20 working days at the latest.
14. Complaints
If you’re unhappy with how we’ve handled your information, please contact us first at hi@thelawnbrigade.nz and we’ll do our best to put it right. You also have the right to complain to the Office of the Privacy Commissioner (privacy.org.nz).
15. Children’s Privacy
This app is intended for our crew and customers, not for children. We don’t knowingly collect personal information from children.
16. Cookies and Website Tracking
Our website uses cookies and similar tools to help it work properly, to remember your progress if you start an estimate request, and to understand how visitors find and use the site.
We use the Meta Pixel (from Meta, the company behind Facebook and Instagram) on every page. It tells us which pages people visit and whether a visit led to an estimate request, so we can see whether our advertising is working and stop paying for ads that are not. It sets cookies in your browser and shares that activity with Meta, who may match it to your Facebook or Instagram account. We do not send Meta your name, address, phone number or the details of any job you ask us about.
We also use Zoho PageSense to see how people move through the site: which pages they read, where they get stuck, and which version of a page works better when we are trying two. It records anonymous usage patterns, not your identity, and we do not use it to build a profile of you.
Metricool counts visits to the site and tells us where they came from, such as a search engine or one of our Facebook posts, so we know which of our efforts actually bring people in. It records visit counts and sources, not personal details.
Our website also has a live chat window, run by Zoho SalesIQ. It sets cookies so a conversation carries on if you move between pages, and it shows us which page you are on while we chat so we can help you properly. Anything you type into the chat, including a name, phone number or email you choose to give us, is stored by Zoho on our behalf and treated like any other enquiry under this policy. If you would rather not use it, simply close the chat window and contact us by phone or email instead.
If you would rather not be tracked, you can block or delete cookies through your browser settings, turn on your browser’s “do not track” or tracking-protection feature, or adjust your ad preferences in your Facebook or Instagram account settings. The website works exactly the same either way, and it will never change what we charge you or the service you get.

We may update this policy from time to time. The latest version will always be at thelawnbrigade.nz/privacy.
